Sharpena shares information within the platform according to school-controlled roles and permissions. Students see their own records. Parents and guardians see linked children. Teachers see assigned classes and students. SchoolAdmins and Principals see authorised school-level records. Super Admin support access is controlled and audited.
Schools determine which authorised users may access school records and how school policies are applied. Sharpena processes records on behalf of schools to provide the service.
Sharpena is designed to limit student data access based on a user's role, school, class assignment, and verified parent or guardian links.
Parents and guardians may access only students they are officially linked to by the school. Schools are responsible for maintaining those links and permissions.
Student data is handled for school-related educational purposes. Access is controlled by the school and authorised parents, guardians, teachers, and staff.
Sharpena uses role-based access, tenant isolation, password hashing, secure sessions, audit logs, access controls, backups, and encryption in transit when HTTPS is enabled. No system can guarantee absolute security, so schools and users must also protect their accounts and devices.
Information is retained as needed for school operations, security, legal or accounting needs, and school policy. Schools may request exports or discuss deletion and retention requests according to their policies and applicable requirements.
Sharpena does not sell student or parent data. Information may be shared only with authorised school users, linked parents or students, service providers needed to operate the platform, legal or regulatory authorities where required, and support personnel working under audit controls.
Sharpena may use service providers for hosting, email, storage, payments, or communications. Any provider used to operate the platform must be assessed and configured for the applicable service and school needs.
If users access Sharpena from other jurisdictions, information may be processed where Sharpena or its service providers operate, subject to the applicable service arrangement and requirements.
Users may contact their school or Sharpena support about access requests, correction requests, account issues, export requests where applicable, or questions about deletion and retention.
For student records, parents and students should generally contact their school first because the school controls the official record and the relationships that determine access.
Sharpena may update this Privacy Policy as the platform, service arrangements, or applicable requirements evolve. The effective date and version will identify the current policy.
